Convention Committee

Description for RMCMI Convention Committee

This committee will be chaired by the Convention Liaison Officer. The Chair may appoint as many RMCMI members to serve on this committee as deemed necessary to complete the work. The President will work closely with the Program Sub-Committee to determine the theme and type of speakers needed to support the theme.

This committee will work with the RMCMI office to handle all aspects of the convention planning and execution. Ideas regarding programs at convention should be considered and presented to the Executive Director for possible implementation.

The main sub-committee of this group will be the Program Committee. The chair of this committee is responsible for securing speakers to present technical papers at the annual meeting and convention of members. The general program theme, as selected by the President, shall be adhered to in the presentation of these papers.

The program is generally presented to the members beginning the Monday morning after the last Sunday in June and continuing Monday afternoon as well as Tuesday morning.

A general outline of the program is due at the Board of Directors' fall meeting for approval with the final program, with all speakers secured, due at the February meeting. At the initial contact with speakers, the committee shall emphasize that this is a nonprofit corporation, and as such, travel and lodging expense is borne by the speaker. However, all Institute meals and convention registration are complimentary to the speaker, but not to his spouse/family if they attend.

Confirmation of speakers is done by the chair and other correspondence is done by RMCMI. The chair/committee must have all information about the speaker (company, title, phone, cell phone, address and e-mail) to give to the office in February, or prior, once the speaker is confirmed. The Institute will sponsor a Speaker's Breakfast Monday morning with the AV representative to ascertain if all needs are being met.

Other convention sub-committees will need support for Beverage Control, Golf, and Reception. These sub-committees work mostly with the office and will be contacted by the office prior to convention. Registration is handled through the office.
